Challenge
The goal was to operate business email as a controlled production service rather than depend entirely on a third-party mailbox provider. That meant solving several layers together: reliable SMTP delivery, IMAP mailbox access, user and domain management, browser-based mail access, spam filtering, DNS authentication and operational troubleshooting. Deliverability also had to be assessed against real external providers rather than judged only by whether a message left the server.
Approach
We designed the mail platform as a set of separate but integrated responsibilities. Postfix handles message transfer, Dovecot provides mailbox and IMAP services, and Rspamd provides filtering and reputation-related controls. Application services manage mailbox identities, organization-level administration and the web experience, while Nginx and TLS provide the public service edge. For each mail domain, DNS authentication was configured and validated using SPF, DKIM and DMARC. SMTP and IMAP behavior was tested from real clients, and outbound delivery was checked against major external mailbox providers so that spam placement, authentication and reputation issues could be investigated with actual delivery evidence.

Ongoing Support
Mail infrastructure requires continuing operational attention, so the platform is maintained as a live service rather than a one-time deployment. Ongoing work includes reviewing delivery behavior, adjusting anti-spam rules, validating DNS records, monitoring service health, investigating authentication or mailbox issues and rolling frontend/backend improvements into the production platform.
